We are seeking a part-time hourly onsite (non-negotiable) Office Admin to be in a support role to the CEO and CFO of several small businesses. We are headquartered in Cockeysville, MD where the CEO and CFO work while the remainder of the team are remote working. This opportunity will encompass a wide range of responsibility. This includes: personal assistant support to the CEO and CFO, business support, office administration and social media management.

The ideal candidate will have professional administrative experience, a project coordination mind-set (not check list), OCD level organization, a love for social media and experience with video editing, posting and shorts creation. The right characteristics for this role is someone who has an incredible (Gen-x version) work ethic, a genuine care for getting things done and working towards being a step ahead of leadership. They will also have a high energy, positive, solution oriented personality blended with street smarts and all around grit. This role is not for anyone who is overly sensitive as we move at the speed of light and expect anyone who works with us to keep up and handle the pressure. 

This position is 10-15 hours per week, hourly pay as a 1099 contractor. You are paid by the 30th of each month following the month of service via direct deposit. This is an in-office position but you can create your own weekly schedule Monday-Friday anytime between the hours of 9:00am to 7:00pm. 

Compensation range is based on how your skills and experience match to our minimum requirements and exceed them. The offer will be non-negotiable: $16-18 per hour.

Duties: 

  • Personal and Executive Assistance to the CEO and CFO
  • Event planning
  • Travel coordination
  • Personal errands
  • Schedule/calendar management including personal and business appointments
  • Project Coordination
  • Expense report
  • Social Media Support
  • Manage CEO’s youtube channel
  • Create and edit videos
  • Create and manage all social media channels posting schedule
  • Ad-hoc projects assigned based on launches of new business, websites, projects, etc.
  • Office Administration
  • Keep the office well stocked, clean and organized
  • Check all business voicemails, emails and chats and respond same day
  • Sending and receiving correspondence related to corporate initiatives
  • Filing
  • Shipping equipment and maintaining equipment inventory log
  • Picking up and sorting mail 

**And progressively more responsibilities as the OA develops in this role.**

Requirements: 

  • Must have High School Diploma and additional higher education in the form of training, coursework, certification and/or degree; Associate’s Degree preferred
  • Minimum 1 year of professional administrative experience
  • Minimum of 3 professional references who were direct supervisors who can provide feedback on each area of required experience
  • Proficient in ALL forms of technology including devices and google suite; tech savvy preferred
  • Ability to perform ongoing physical requirements including but not limited to lifting up to 50lbs
  • Within a 40 minute drive to Cockeysville, MD
  • Valid driver’s license with personal vehicle that is properly insured; driving record will be pulled
  • Disclosure- a criminal background investigation will be run and anyone who has committed any kind of violent offense or has a history of theft or fraud will not be considered.
  • Legally eligible to work in the United States; no sponsorship of any kind is available

Milestones:

General:

  • 1 month- Independently creating schedule with details, following blocks, and fully utilizing task sheet; learn how to utilize task sheet for all job responsibilities; 
  • 2 month- proactive communication
  • 3 month- organization of work in all duties/areas
  • 4 month- exemplify all tenets in all aspects of work
  • 5 month- utilization of project sheets
  • 6 month- master all AIS tools and methodologies including schedule creation and following blocks w/ details
  • 1 year- consistently perform all best practices, receive at least 50% of review at level 3, eligible for promotion
  • 1.5 year- due to extraordinary performance in original role ready for the role to further evolve into next level responsibilities
  • 2 year- achieved based on performance eligibility for performance

Personal Support:

  • 1 month- transition all active personal support tasks and stay up to date with newly assigned tasks; manage personal appointments and schedule
  • 3 month- manage events calendar and travel planning
  • 6 month- take the lead on all recurring home projects, events, travel and tasks without reminder and constant direction, be a step ahead

Social Media Coordination:

  • 1 month- add existing social media posting schedule to your schedule and by week 4 consistently post based on schedule; review all prior videos and complete any videos that were already started by prior SMC; check all social media and CEO’s YT channel for any comments or interactions and track; 
  • 2 month- create and follow project schedule in addition to standard posting schedule
  • 3 month- increase all SM channels following by 10%
  • 4 month- increase all SM channels following by additional 10%
  • 6 month- increase all SM channels following by additional 10%
  • 1 year- Since start date increase all SM channels following by 100%

Executive Support:

  • 1 month- independently completing initial tasks as assigned by CEO and CFO while providing proactive daily updates 
  • 3 month- independently managing the calendars of the CEO and CFO
